How to Manage Overwhelm When You're Swamped with Orders

Simple Strategies for Handmade Sellers to Stay Productive Without Burning Out Feeling overwhelmed with orders is something every handmade seller experiences at some point, especially when you're running the show solo.

Here are a few strategies you can use to help alleviate the stress and exhaustion while still keeping things moving:

1. Prioritize and Break It Down

Start by listing out all the tasks you need to complete, then prioritize them based on deadlines and urgency. Break the big task of “fulfilling orders” into smaller, bite-sized chunks. Instead of thinking about fulfilling 50 orders, focus on packing 5 at a time. This makes the workload feel more manageable.

Action Tip: Tackle the highest priority orders first, and reward yourself with small breaks or a treat after completing each batch.

2. Set a Timer for Focused Work

The Pomodoro Technique can be a lifesaver. Work in short, focused bursts (e.g., 25 minutes) with a 5-minute break in between. This prevents burnout and keeps you productive without feeling drained.

Action Tip: Set a timer for 25 minutes, work on one specific task (e.g., printing shipping labels, packing), and then take a short break before diving back in.

3. Delegate (Even If It's Temporary)

If you're really feeling swamped, consider enlisting temporary help—even for a few hours. Whether it’s a family member, friend, or hiring a local assistant, offloading even a small part of the process (like packing or labeling) can ease the burden.

Action Tip: If hiring help isn’t an option, automate parts of your process like creating shipping labels or batch-processing orders to save time. You can even have your kids or husband, make boxes, print labels or help ship orders. When my girls were little I'd have them color and add them to orders. My customers were surprised and delighted to receive a bit of art with theor order.

4. Take Short Breaks to Recharge

Even when you feel like you can’t stop working, taking short breaks can actually help you be more efficient. Step away for a 5-10 minute break every hour to stretch, breathe, and reset your mind. You’ll come back more focused and refreshed.

Action Tip: Use these breaks to do something relaxing—step outside for fresh air, stretch, or sip your favorite drink. You’ll return to your tasks feeling more refreshed.

5. Batch Similar Tasks

Batching similar tasks can streamline your workflow. For example, print all shipping labels at once, package all items together, then label and box them up. Doing one task at a time (rather than switching between tasks) can make the process smoother and faster.

Action Tip: Group orders that have similar products so you can fulfill them in one go rather than jumping between different items.

6. Limit Distractions

When you're overwhelmed, distractions can make the workload seem impossible. Turn off notifications, close social media, and create a distraction-free zone where you can focus solely on your orders.

Action Tip: Set “work hours” where you focus only on fulfilling orders and limit interruptions.

7. Remind Yourself: Progress Over Perfection

It’s easy to get caught up in making sure every detail is perfect, but sometimes progress is more important than perfection. Focus on getting orders done efficiently, and don’t stress if everything isn’t flawless. Your customers will appreciate that you’re delivering on time, and you can tweak things for the next round.

Action Tip: Let go of the need for everything to be perfect. Prioritize getting orders out rather than obsessing over small details.

8. Reward Yourself at the End

Give yourself something to look forward to when you’re done. Whether it’s a favorite snack, an episode of your favorite show, or just some much-needed rest, having a reward waiting at the end of a long day can help motivate you to push through the tasks ahead.

Action Tip: Set a specific reward (like a bath, TV time, or a treat) for when you finish your orders, and use it as motivation to stay on track.

9. Practice Mindfulness and Self-Compassion

When you’re exhausted, it’s easy to feel overwhelmed and frustrated with yourself. Remember to practice self-compassion and remind yourself that you’re doing your best. Taking a few minutes to breathe deeply and center yourself can make a big difference in your mood and focus.

Action Tip: Take a moment to pause, breathe deeply, and acknowledge that it’s okay to feel tired—just take things one step at a time.

10. Plan for Tomorrow

If you can’t get through all the orders today, that’s okay. End your day by organizing and planning what needs to be done tomorrow. Knowing you have a plan will alleviate the stress of thinking about what’s left to do.

Action Tip: Write a list of tomorrow’s tasks at the end of your workday so you can rest, knowing you’re prepared for the next day.

Remember: You’ve got this! It’s okay to feel overwhelmed sometimes, but with the right approach, you can manage your workload without burning out. Break it down, give yourself grace, and take it one step at a time.
